When will I be notified if my abstract was accepted to the 2025 Tandem Meetings?

Abstracts are peer-reviewed on their scientific merit and according to subject category. Individuals submitting abstracts must indicate the appropriate review category. Abstracts may be re-categorized to a more appropriate category based on guidance from the Tandem Meetings Co-Chairs. The ASTCT, CIBMTR and Tandem Meetings of ASTCT & CIBMTR reserve the right to make minor editorial grammatical/spelling changes if required for clarity of presentation. You will receive notification of acceptance or rejection by December 1, 2024.  

When can I submit a late-breaking abstract?

The submission of late-breaking abstracts will be open between December 5-16, 2024.

Late-breaking abstract authors must complete a request for information to explain the need for submission during the late-breaking abstract submission process. This rationale will be shared with the abstract reviewers and program Co-Chairs.

What is the embargo policy for abstracts presented at the 2025 Tandem Meetings?

Abstracts submitted for presentation will be embargoed by the author(s) and the 2025 Tandem Meetings, upon submission. The embargo will be lifted, and abstracts will be made available for viewing on February 14, 2025.

Will sessions at the 2025 Tandem Meetings be available for on-demand viewing?

All registered attendees of the 2025 Tandem Meetings will receive access to On-Demand Session Recordings within hours of a live session’s conclusion. Please monitor your inbox, this webpage and the ASTCT and CIBMTR social media platforms for more information.

When will the searchable schedule be available?

The searchable schedule will be available this fall. All registered attendees will be able to log in, update their profile and create personal schedules.

When can I access the conference mobile app?

The 2025 Tandem Meetings mobile app will be available for attendees to download in January, 2025. The app will include access to the current program, attendee directory, evaluations, on-demand session recordings, scavenger hunt game, job posting board and more.

Is the FACT Boot Camp Workshop part of the 2025 Tandem Meetings?

FACT Boot Camp Workshops are not affiliated with the 2025 Tandem Meetings. FACT workshops are taking place prior to the Tandem Meetings in Hawaii.

Registration

Can I change my in-person registration to a Digital Access registration or my Digital Access registration to an In-Person registration?

Attendees may transfer from an In-Person Attendee to a Digital Access Attendee and from a Digital Access Attendee to an In-Person Attendee.

If an attendee changes registration type from a Digital Access Attendee to an In-Person Attendee, the attendee must pay any outstanding balance and complete any additional registration fields.

If an attendee changes registration type from an In-Person Attendee to a Digital Access Attendee, they will not receive a refund for the difference in registration fees.

Please email TandemRegistration@smithbucklin.com to make these arrangements by January 15, 2025. After January 15, 2025, registration type changes will be at the sole discretion of the Tandem Meetings Planning Team.

What is included for Digital Access Attendee?

Digital Access Attendees will have the ability to view On-Demand Session Recordings, which include the following content: Scientific, plenary and concurrent sessions, oral abstract sessions, honorific lectures, symposia and educational tracks. Access the On-Demand Session Recordings hours after the conclusion of a live session and receive access to continuing education (continuing medical, nursing and pharmacy) credits for up to 30-days post meetings. Additionally, Digital Access Attendees will be able to utilize the Tandem Meetings mobile app to connect with other attendees and submit questions to speakers through the asynchronous question and answer feature within the app.

Can I transfer my registration to someone else?

Registrations are transferable within your organization. Substitution requests must be sent in writing by January 15, 2025. Please email TandemRegistration@smithbucklin.com to make these arrangements. After January 15, 2025, registration substitutions will not be accepted. 

What is the cancellation policy?

Cancellations must be sent in writing to TandemRegistration@smithbucklin.com by January 15, 2025. Your registration fee, less a $100 administrative fee, will be refunded in the same form as the payment was made if cancellations are received by January 15, 2025. Registrations cancelled beginning January 16, 2025, will not be refunded. Any exceptions shall be at the sole discretion of the Tandem Meetings Planning Team.  

If you are considering cancellation, please remember that as a registered attendee you will still have access to all session recordings and if they are viewed within 30-days following the conclusion of the 2025 Tandem Meetings, you can obtain continuing education credit. After the 30 days, session recordings can still be viewed, but credit will not be granted.

Digital Access Registration

What is included in the Digital Access registration?

Are the dates of the Digital Access registration the same as the In-Person event dates?

Digital Access Attendees may register when registration launches in fall 2024 and these attendees will have the opportunity to watch the on-demand session recordings through the online program and mobile app within three (3) hours of a live session’s conclusion. Digital Access Attendees may view the On-Demand Session Recordings for 30 days post-meetings and complete evaluations through the online program and mobile app in order to obtain continuing education credits.

Will abstract sessions be available?

Regular abstracts can be viewed online in the Tandem Meetings website and mobile app after January 17, 2025, and once published, in the digital Transplantation and Cellular Therapy journal supplement. Late-breaking science abstracts can be viewed online in the Tandem Meetings website and mobile app on February 13, 2025. There will be no digital posters available – all posters will be presented in person.

How long is digital content available?

The On-Demand Session Recordings will be available to both Digital Access Attendees and In-Person Attendees within three (3) hours of a live session’s conclusion. The On-Demand Session Recordings will be made available indefinitely on the online program and mobile app unless the presenter has requested otherwise. If continuing education credit is needed for Digital Access Attendees, these attendees must view the on-demand session recordings and complete evaluations within 30 days post-meetings.

What is the attire for the Tandem Meetings?

Tandem Meetings suggests business casual, but there are no strict guidelines on attire. We ask that attendees present themselves in a professional manner. Additionally, meeting spaces may fluctuate in temperature. We strongly suggest wearing layers for comfort. We also recommend comfortable shoes.

My family is traveling with me. Is there an age limit for attendees/guests at the Tandem Meetings?

Due to the professional nature of the Tandem Meetings, all attendees and guests must be 16+ years old. Anyone who wishes to access the Hawai’i Convention Center will need to be a registered attendee. Guest passes can be purchased in advance through the Registration system.

Will childcare services be available at the meetings?

Childcare services are not provided by Tandem Meetings, Hawaiʻi Convention Center or the affiliated meeting hotels. One location for local childcare services cis through Care at www.care.com. Tandem Meetings, ASTCT, CIBMTR and Smithbucklin have no affiliation with these organizations and are not able to endorse of their services. We recommend you investigate further to ensure this company meets your childcare standards.

Where can I find the Tandem Meetings Code of Conduct?

View the Tandem Meetings Code of Conduct here. Conference attendees will be required to attest to the Tandem Meetings Code of Conduct upon registration for the meetings.

What meals are included with my registration?

Welcome coffee, morning refreshment break, lunch, and afternoon refreshment breaks are included for registered attendees, along with various receptions and other non-ticketed events. See the Social Events page for more information. Attendees who participate in a scheduled Symposium, will receive breakfast or lunch based on the session time.

How can I request a letter of invitation in order to apply for a visa?

For many attendees, a Letter of Invitation helps facilitate the visa application process and/or support requests to receive funding to attend the Tandem Meetings. If a Letter of Invitation is needed for the 2025 Tandem Meetings, please follow these steps:

  1. Email TandemMeetings@mcw.edu to request the Letter of Invitation
  2. Include in the email, the full attendee’s name, job title, email, institution and mailing address

Once the request has been received and reviewed, the Letter of Invitation will be provided via email in PDF format within three business days of receipt of all requested information. Questions can be sent to TandemMeetings@mcw.edu.

What do I do in case of an emergency while onsite at the Meetings?

Ernest M. Morial Convention Center Security personnel patrol and monitor facility public areas, parking lots and perimeters. Security staff is available 24 hours a day, 365 days a year. Personnel respond to all incidents and, when requested, will assist persons with disabilities.
If Fire, Medical or Police assistance is needed: DIAL 504 -582- 3040 or use one of the many red phones in the lobby areas. Please refrain from calling 911. If you do call 911, also call Security at numbers above. Stay on the line, calls are recorded. An officer will answer immediately. Be prepared to identify the location of the emergency by building, level and either hall, meeting room or corridor.

I have special meals/transportation/accommodations needed, where should I report that?

The Tandem Meetings aim to ensure that all meeting attendees can experience the conference to its fullest. To ensure that we can accommodate you, please include any requests for special accommodation during the registration process.

What Americans with Disabilities Act (ADA) accommodations will be made?

The Tandem Meetings comply with the ADA and are committed to providing a positive experience for all attendees. Participants who have special requirements due to a disability may indicate their needed accommodation(s) during the registration process. To find more details about access within the Hawaiʻi Convention Center, please visit their website.

Are scooter or wheelchair rentals available?

Hawaiʻi Convention Center has scooter rentals available. To inquire about scooter rentals, please contact the Business Center at HCCBusinessCenter@hccasm.com. Advance reservation is required.

Attendees who require a wheelchair for use during an event should make arrangements directly with a wheelchair rental company. For more information, please call the Events Department at (808) 943-3500.

Is there a business center at the Hawaiʻi Convention Center?

The Business Center is located on the third level of the Hawaiʻi Convention Center, conveniently located close to meeting rooms, theaters and courtyards. Services available include printing, copying, shipping and receiving. Official hours will be confirmed closer to the event.

NOTE: Shipments delivered to the Business Center without prior notice will incur an additional shipping surcharge.

Housing

How do I make a hotel reservation?

All hotel reservations for the 2025 Tandem Meetings must be made online. Attendees must register for the event first and then will be able to make a housing reservation on their registration confirmation email through onPeark, the official housing bureau of the 2025 Tandem Meetings.

Why should I book with onPeak instead of directly with the hotel?

By making your reservation within the Tandem Meetings official housing block, you are supporting the Tandem Meetings and ensuring lower overall costs such as registration and convention center fees. Personally, you benefit by receiving the lowest rate for your room(s) as well as added services and incentives only available to those who book through onPeak. Please be advised that onPeak is the only official hotel provider associated with the 2025 Tandem Meetings.

Shouldn't I just book my hotel through my company's travel provider?

Booking with anyone other than onPeak does not allow you access to the official, discounted rates negotiated specifically for the Tandem Meetings. You will also miss out on the reservation flexibility and other benefits that come with booking in the Tandem Meetings official hotel block. If your company mandates that you use your corporate travel arm or another company to book your hotel/travel, it's worth asking your travel manager to book through onPeak to receive the benefits of the Tandem Meetings official hotel block. We're happy to work with them, too!

Am I able to get hotel points when I book that property through onPeak?

Yes, you can earn rewards points with your preferred hotel chain when booking in the official hotel block—simply enter your rewards or frequent guest number when booking through our online system. When we transfer your reservation details to the hotel approximately 2 weeks prior to the Tandem Meetings, your frequent guest number will be included with your information, and you will receive your points.

How do I modify or cancel my hotel registration?

Please make all hotel changes, including cancellations, online at 2025 Tandem Meetings - Modify. Changes can be made online through Tuesday, February 4, 2025. After February 4, 2025, you will need to contact your hotel directly.

What if I called my hotel and they have no record of my reservation?

Not to worry. Your reservation details are not transferred from onPeak’ s system to the hotel's system until approximately 2 weeks prior to the Tandem Meetings. Until that time, you just need to work with onPeak to manage your hotel reservation. Please consult your confirmation for the link to log in to your reservation, the schedule for when reservations are transferred to the hotel, and the hotel's direct phone number.

What is the cancellation policy?

For all hotels with exceptions noted below, reservations cancelled on or after Friday, January 3, 2025, will be subject to a 1 night's room and tax cancelation fee. This fee will be charged at the time of cancellation and will appear on your credit card statement. After Tuesday, February 4, 2025, cancellation will be charged by the hotel.
*For the Hilton Hawaiian Village Waikiki Beach Resort, Reservations cancelled on or after Friday, January 3, 2025, until Tuesday, January 28, 2025, will be subject to a 1 night's room and tax cancelation fee. This fee will be charged at the time of cancellation and will appear on your credit card statement. Cancellations made after Tuesday, January 28, 2025, are subject to a 2 night's room and tax cancellation fee charged by the hotel.
*For the Ala Moana Hotel by Mantra, Reservations cancelled on or after Friday, January 3, 2025, until February 4, 2025, will be subject to a 1 night's room and tax cancelation fee. This fee will be charged at the time of cancellation and will appear on your credit card statement.

Cancellations made after February 4, 2025, are subject to a 2 night's room and tax cancellation fee charged by the hotel.

When will my waitlisted night be confirmed?

Please note that a valid reservation is required within the Tandem Meetings block to waitlist for another hotel. Once your preferred hotel is available onPeak will transfer your reservation as quickly as possible. You will receive an updated acknowledgement email when your reservation is confirmed at your desired hotel. Please submit your waitlist request here.

What if my dates are not available online?

If you want to extend your stay over dates not available online, please contact the Tandem Meetings Housing Bureau at TandemHousing@onPeak.com.

When will my credit card be charged?

Your credit card will be held as a form of guarantee only and will not be charged unless the reservation is canceled as outlined in the above Cancellation Policy. All guests must provide a credit card at check in for their room, tax and incidentals.

How do I make a special request? (i.e., two beds, non-smoking, high floor, etc.)

You may add your request to your reservation online. Please note, special requests are not guaranteed. The hotel will make its best effort to accommodate room type preference and special requests.

How can I book a suite or request an upgrade?

Suites and upgrades are based on availability and are at the discretion of the show manager. For options regarding suites or upgrades, please contact the Tandem Meetings Housing Bureau at tandemhousing@onpeak.com.

What’s the difference between a double occupancy room and a room with 2 beds in it?

The types of hotel rooms and rates we offer are generally determined by the hotel. Some hotels determine rates by the size/type of room, and some hotels determine the rate by how many people are staying in the room. Double occupancy is defined as 2 people sharing a room and does not necessarily mean that 2 beds will be in the room. If you wish to have 2 beds in your room, you can make that request during the booking process.

Can I book rooms at a government rate or other special rate?

Government-rated rooms are available at select hotels. Please be aware that Hawaii is not included among the 48 contiguous U.S. states. As a result, government rates for 2025 Tandem Meetings | Transplantation & Cellular Therapy Meetings of ASTCT® and CIBMTR® accommodations in Hawaii are set on a monthly basis, rather than annually. The rate you book is subject to change and will not be finalized until the month of the Tandem Meetings.
